Why Your Profile Matters

Your profile information in Recruitier serves two important purposes:
  1. Outreach personalization — When Recruitier’s AI generates outreach messages on your behalf, it uses your name and company details to make the messages feel authentic and professional. A complete profile means better, more credible messages that get higher response rates.
  2. Team identification — If you work as part of an agency, your profile helps colleagues identify who created a search, saved a company, or sent an outreach message. It also appears in team analytics and the agency dashboard.
Completing your profile is one of the first onboarding steps and takes less than a minute. The initial profile setup page (shown after your first login) asks for your first name, last name, and account goal. It is marked as complete once you have provided at least your first name and last name. Additional business details (company name, BTW number, address) can be added later from the Settings page.

Personal Information

After logging in for the first time (or from the Settings page at any time), fill in your personal details:

First Name and Last Name

Enter your full name as you want it to appear in outreach communications. This is the name that will be used in email signatures, message greetings, and internal team views.
Use the name that your contacts and clients know you by. If you commonly go by a nickname in professional settings, use that. Consistency between your Recruitier profile and your LinkedIn profile helps build trust with recipients.

Phone Number

Optionally add your phone number. This can be included in outreach messages or used as a callback number in your email signature. If you plan to use the phone call step in outreach flows, having your number in your profile ensures it is easy for contacts to reach you back.

Business Information

Your business details help establish your professional identity on the platform and are used for invoicing and compliance purposes.

Company Name

Enter the name of your recruitment agency or business. This is used in:
  • AI-generated outreach messages (e.g., “I am reaching out on behalf of [Company Name]”)
  • Your profile within the agency team view
  • Pitch deck and tone of voice references
  • Invoice headers
If you are an independent recruiter (ZZP’er), enter your trading name or personal brand.
If you send outreach messages without completing your company name, the AI will omit the company reference from generated messages. This can make your outreach appear less professional and reduce response rates. Fill in your company name before starting any outreach campaigns.

BTW Number (VAT Number)

The BTW number (BTW-nummer) is your Dutch VAT registration number. This field is optional but recommended for the following reasons:
  • It appears on all invoices generated through the platform after you add it
  • It establishes your credibility as a registered business entity
  • It is required for correct Dutch and EU invoicing compliance
Enter it in the standard format (e.g., NL123456789B01).
Your BTW number is stored securely and is never shared with other users or companies on the platform. It is only used for billing, invoicing, and administrative purposes.

Address Details

You can provide your business address, including:
  • Street address — Your office or registered business address
  • City — The city where your business is located
  • Zip code — Your Dutch postal code in standard format (e.g., 1234 AB) or international equivalent
  • Country — Defaults to the Netherlands but can be changed if your business is registered elsewhere
This information is used for:
  • Invoice generation and billing records
  • Establishing your geographic context for local outreach
  • Compliance with Dutch business registration requirements

How Profile Information Appears in Outreach

When you compose an outreach message (or let the AI generate one), Recruitier draws on your profile data to create a natural, professional introduction. Here is an example of how your profile fields might be used:

I came across your job posting for [Job Title] and I believe I have an excellent
candidate who would be a great fit for this role.

You can control exactly how your information is used in messages by editing the generated text before sending, or by creating custom Tone of Voice profiles that specify your preferred introduction style. The AI uses your profile as a starting point, but you always have final control over what gets sent.

Editing Your Profile Later

You are not locked into the information you enter during onboarding. To update your profile at any time:
  1. Click on Settings in the left sidebar
  2. Navigate to the Account section
  3. Update any fields and click Save Changes
Changes take effect immediately. Any new outreach messages will use the updated information. Previously sent messages are not affected.
Recruitier uses sparse updates — only the fields you change are sent to the server. You can update a single field without worrying about accidentally overwriting other settings.

Profile Completeness

Recruitier tracks your profile completeness as part of the onboarding checklist. The “Profile Completed” step is marked as done when you have provided at least your first name and last name. While the business fields (company name, BTW number, address) are optional for the onboarding step, we strongly recommend filling them in before sending any outreach messages. Recipients are more likely to respond to messages that come from a clearly identified recruiter at a named business. The profile completeness indicator appears in the floating onboarding checklist widget in the bottom-right corner of the screen. The widget shows your progress across all onboarding steps and can be expanded or collapsed. Once you complete all steps (or dismiss the widget), it disappears.

How Sparse Updates Work

When you save changes to your profile, Recruitier only sends the fields that have actually changed to the backend. This means:
  • If you only update your phone number, only the phone number field is transmitted
  • Other fields retain their existing values without being re-submitted
  • This reduces the risk of accidental data loss from stale form data
  • It also improves performance by minimizing the payload size
This is particularly useful when multiple team members might be updating their profiles simultaneously in an agency setting.

Profile Data in the AI Pipeline

Your profile data flows through several AI systems:
  1. Message generation — When the AI composes outreach messages, it injects your name, company name, and phone number into the message template based on the tone of voice settings
  2. Signature handling — Your connected email signature is cached and sanitized using DOMPurify (an HTML sanitization library) with a maximum size of 50KB. This prevents malicious HTML from being injected through signatures.
  3. Team context — In agency settings, your profile data appears in activity logs, search attribution, and the member leaderboard

Onboarding Step Detection

Recruitier uses retroactive completion detection for profile setup. If you already filled in your profile information (for example, through the Settings page) before reaching the onboarding step, the system automatically detects this and marks the step as complete. You do not need to re-enter information you have already provided.
